How it works

Mentoring a volunteer can run without running it.

Mentors decide how much they give. Members decide who to ask. The committee just watches it work.

Mentors set their own terms

A member who wants to help writes a mentor profile: up to 12 topics, the industries they know, a short note and how many requests they will take a month, from 1 to 10. One switch pauses it.

Members ask, with a reason

The mentor list shows every active mentor who is in the directory. A member picks a topic and writes a message. AlumDeck stops the awkward cases: asking yourself, asking the same mentor twice, or asking someone who is full this month.

Every request has a state

Pending, accepted, completed

A request starts pending. The mentor accepts or declines it with a note. Either of them marks an accepted request complete with a line about how it went, and the mentee can cancel while it is still pending. Both are emailed at each answer.

See it working, without running it

Staff with the members area get a read-only list of every request and its state, and new requests appear in the dashboard's attention queue. They can remove a request, but they do not have to manage anyone.

Why it works for small associations

No spreadsheet, no matchmaker.

The old way was a spreadsheet of names and a committee member making introductions by email. In AlumDeck the mentor publishes what they will help with, the member asks directly, and the mentor's own limit stops anyone being overwhelmed. The committee's job shrinks to telling people it exists.

Mentors are also an audience: tick "mentors only" when you send an email campaign or filter the directory.

FAQ

Questions committees ask

Does AlumDeck match mentors and mentees?

No. Members browse the mentors, read their topics and choose who to ask. There is no matching algorithm and no suggestions; mentor matching is planned for release 1.6.

Who can become a mentor?

Any active member who is listed in the directory. They fill in a mentor profile and switch it on. There is no approval step, so if your committee wants to vet mentors, agree that outside AlumDeck.

How do mentors avoid being swamped?

Each mentor sets a monthly capacity from 1 to 10. Once that many requests have been accepted or completed this month, their card reads "At capacity this month" until the next one.

How do a mentor and mentee actually talk?

Accepting a request shares no contact details. The pair swaps email or phone with a contact request, then meets however they like: a call, a coffee or their own video link. There are no video calls or booking inside AlumDeck.

Is mentoring switched on after install?

The Mentoring page is in the member menu from the first day. Settings has a Mentoring switch, but today it does not hide the page; wiring it up properly is planned for release 1.1.
