Mentoring

Mentoring that does not burn out your seniors

Alumni publish a mentor profile with topics, industries and a monthly limit between one and ten. Younger alumni send a request with a topic; past the limit the card reads "At capacity this month".

Giving records

Appeal pages with a goal, a progress bar and an optional donor wall. The finance office records each gift that reached the institution, and AlumDeck emails a numbered receipt.

Your first month

Four weeks, split by who does the work.

The alumni office never needs a terminal. IT needs one afternoon and then a few minutes a month.

The honest part

What IT will ask about, answered first.

  • Sign-in through your university's identity provider (SAML or OIDC single sign-on). Planned: release 2.0
  • Two-way sync with a CRM or student records system. Data moves in and out as CSV.
  • A REST API or outbound webhooks. Planned: release 2.0
  • Limiting a staff account to one department. Areas are site-wide.
  • Two-factor sign-in for members. It exists for admin accounts.
  • A service level agreement or phone support. Support is by email.

Everything else AlumDeck does not do is on the full list, and the planned releases are on the public roadmap.

Questions

From alumni offices and IT

How many alumni records can it hold?

There is no limit in the software and no per-record charge. The practical ceiling is your hosting: if a very large list outgrows a shared plan, a small virtual server runs the same install under the same $49 licence.

Can departments and the placement office have their own logins?

Yes, with no seat charge. Each staff account gets specific areas out of 13, so the events coordinator gets events and nothing else. Areas are site-wide: someone who can edit events can edit every event, not only their department's.

Does it replace our main website?

No, and it should not. The usual set-up is a subdomain such as alumni.yourcollege.edu beside the main site. Logo, colours, menus, footer and homepage blocks are settings, so it can match your brand without anyone editing templates. There is no custom CSS field.

Who applies security updates?

You do, or IT does. Releases are published on the changelog and applied by hand: download, swap the folders, update the database. The licence covers every release dated within your paid year. That is the trade of self-hosting: a hosted platform patches for you and charges for it every year.

Can we get our data out if we leave?

Yes. Members, gifts, event attendance and survey results export as CSV from the admin, and the whole database is on your server anyway. There is no exit fee and nobody to ask.

We have several campuses and degree levels. Does that work?

One install serves one institution. Members are grouped by the year they left, and the list of leaving levels (undergraduate, postgraduate, diploma or your own names) and its label are settings. Campuses are not modelled separately.
